How the Streamlined Process Works

For businesses with an IFTA license, the process is designed to be efficient, yet it requires diligence. You continue to purchase fuel as usual, but the fuel taxes you've already paid are credited back to you. At the end of each fiscal quarter—April, July, October, and January—you submit an IFTA fuel tax report detailing your travel distances and fuel purchases across all IFTA jurisdictions.

This is where it gets critical: the tax liabilities for each jurisdiction are calculated using a formula based on average fuel mileage. You’ll see exactly how much you’ve paid to each state or province and whether you owe more or have overpaid. If you've overpaid, your base jurisdiction—the one where your carrier’s license is registered—issues a refund and then handles the transfers to and from other jurisdictions.

This system hinges on your quarterly reporting. If you're not meticulous about your documentation, you could end up facing penalties or missing out on refunds. In short, while the IFTA process simplifies cross-state operations, it demands accuracy and attention to detail from carriers to truly reap the benefits.

Who Needs/Gets an IFTA License?

You may wonder if you need to apply for an IFTA license and file a fuel tax report. Not every vehicle is subject to this requirement, and many drivers can operate between states and provinces without additional licensing. The IFTA specifically applies to:

  • Commercial Vehicles: If you transport people or property.

  • Weight Criteria: Vehicles with two or three axles and a gross vehicle weight exceeding 26,000 lbs (11,797 kgs), or if the combined weight exceeds this threshold.

If your vehicle meets these criteria, you must submit the IFTA quarterly fuel report.

Penalties

Failure to file the trip report, filing late, or underpayment can incur penalties, calculated as the greater of 10% of the owed amount or $50. Interest will also be applied to any outstanding amounts.
